These Terms & Conditions ("Terms") govern your use of the Flocess website and the automation design and build services ("Services") provided by Flocess ("Flocess", "we", "us", "our"). By submitting a process description through our website or otherwise engaging us, you agree to these Terms.
Flocess is an automation studio based in London, UK. We design and build automated workflows ("Automations") for businesses and individuals based on manual processes they describe to us.
When you submit a process through our website, you are asking us to review it and propose an Automation. Submitting a process is not a binding commitment on either side — it is the start of a conversation. A quote, build, or contract only exists once we've confirmed it with you in writing (typically by email).
You're responsible for the accuracy of what you submit. If the process you describe changes materially once we start work, we'll requote rather than build against outdated information.
We aim to respond to every submission within three business days with a written plan, a price, and any questions we have. This is a target, not a guarantee — response times may vary during busy periods.
Building an Automation may involve processing information about your task using third-party AI models (for example, models provided by Anthropic). By ticking the relevant checkbox during submission, you confirm that you have the right to share this information and consent to it being processed by such models for the purpose of designing and running your Automation.
You should not submit information you are not authorised to share, including third-party personal data you don't have a lawful basis to process, or information subject to confidentiality obligations that would be breached by sharing it with us or our AI providers.
Automations are provided on a monthly retainer, which covers designing and building the automation, hosting it, and keeping it running. The monthly amount depends on the size and complexity of the automation and is confirmed in your individual quote. There is no separate upfront build fee. Quotes are valid for 14 days unless stated otherwise. Payment terms will be confirmed in writing before work begins; typically an upfront deposit with the balance due on delivery.
Once a plan is agreed, we'll build and test the Automation with you before handover. "Delivery" means the Automation performs the task as described in the agreed plan. Minor deviations that don't affect the core outcome are not grounds for refusal of delivery, but we'll always work with you to get it right.
If we assess a process and conclude we can't build it cleanly, we won't charge you. If we deliver an Automation that doesn't do what was agreed in the written plan, we will fix it, or refund you in full, provided you raise the issue within 30 days of delivery.
We provide 30 days of support following delivery to fix issues and answer questions about the Automation we built. Support beyond this period, or changes to the Automation's scope, may be quoted separately.
Automations we build often connect to third-party software you already use (for example, Gmail, Slack, Shopify, or similar tools). You're responsible for maintaining your own accounts, licences, and subscriptions to these tools. We are not responsible for outages, pricing changes, or policy changes made by third-party providers that affect how your Automation runs.
We only use the information you submit to design, build, and support your Automation. We do not sell your data. Where your process involves customer or employee data, you remain the data controller for that information; we act as a processor solely for the purpose of building and running the Automation you've asked for.
We may use AI models (see Section 4) as part of our design and build process. We take reasonable steps to work only with reputable providers and to avoid sharing more information than is necessary to complete the task.
We treat information you share with us about your business and processes as confidential, and we won't disclose it to third parties except where necessary to build your Automation (for example, to AI providers or tools you've asked us to connect to) or where required by law.
Once paid in full, you own the specific Automation configuration we build for your business. We retain the right to reuse general techniques, components, and know-how developed during your project in future work for other clients, provided this doesn't involve sharing your confidential information or data.
We'll always do our best to build reliable Automations, but we can't guarantee they will be completely error-free or uninterrupted, particularly where they depend on third-party tools outside our control. To the extent permitted by law, our liability for any claim relating to the Services is limited to the fees you've paid us for the Automation in question. We are not liable for indirect or consequential losses.
You may cancel a project at any point before delivery. Where work has already been carried out, we'll invoice for the proportion of work completed. Any deposit paid is non-refundable once work has started, except where covered by our guarantee in Section 7.
We may update these Terms from time to time. If we make material changes, we'll post the updated version here with a new "last updated" date. Continued use of our Services after changes are posted means you accept the updated Terms.
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
